Six steps from enquiry to going live.

Here is the whole thing written down, in the order it happens: what we do, what you do, what is included in your package, what is charged separately, and exactly what we need from you.

The six steps

What actually happens

  1. Tell us about your club

    Fill in the interest form: your club's name, who you are and roughly how many members you have. We come back to arrange a call, show the system to the people who will run it and agree which package fits.

    Nothing is charged and nothing is set up until you say go.

  2. We create your club

    Once you have chosen a package, we create your club, put your name, logo and colours on it, switch on the parts your package includes, and set up the account for your first administrator.

    Your package sets how much guided setup support is included: one, two or three hours.

  3. You set it up, with our guidance

    Your administrators set up your membership categories and prices, the dates each one runs from and to, your courts and your public page. We work through it with them in guided sessions, using the hours your package includes.

    Guided setup support shows your team how to set things up. The setup itself is done by your team.

  4. Bring your members in

    Import them yourself. Download the member import template, fill it in and upload it. The import shows you every row before anything is saved.

    Or have us do it, for a fixed charge of €400. Send us your spreadsheet or an export from your current system. We prepare it, match each person to the right record and import it for you.

    Preparing and importing your member list is not part of guided setup support. We will show you how the import works, but doing it for you is the €400 service.

  5. You check it, privately

    Your team signs in and checks the things only you can check: that the member list is right, that the categories and prices match what you actually charge, that the courts and opening times are correct, and that the public page reads the way you want it to. Your administrators correct anything that needs it.

    Your members cannot see any of this yet, and no email goes to them.

  6. You go live

    You pick the day. Your members get one announcement with a link to set their password, and from then on they join, renew, book and sign up in the same place your team already administers.

    Pick a quiet time, not the start of your season.

Before you start

What we need from you

This is the whole list. Having it ready before step two means nothing stops partway through setup waiting for information.

Your member list

  • Name, email address and date of birth for every member.
  • An email address on every row, including juniors and other family members covered by someone else's subscription. It is what links a person to the record they already have.
  • Dates of birth wherever you hold them — they are how we match people safely.

What you charge

  • Your membership categories: adult, junior, family, student, social, whatever you run.
  • The price of each one.
  • The dates your membership year runs from and to.

Your club

  • Your courts, and their names or numbers.
  • Your logo and your club colours.
  • The name and email of the first person who should hold the administrator account.

If you are moving off something else

  • Tell us what you use today and whether you can export from it.
  • An export we can read beats a sheet typed from scratch, every time — it keeps each member matched to the right record.
  • If you choose to have us import your members for €400, this export is what we work from.

You do not have to have all of this ready to talk to us. Step one is a conversation; this list is what we will ask for once you decide to go ahead.
